When Xero goes wrong: common issues and fixes

The most common issues and how to fix them

Xero is reliable, but occasional issues occur. Knowing the most common problems and their fixes saves frustration.

Bank feed disconnected

If your bank feed stops updating, go to ‘Accounting’, then ‘Bank Accounts’. The affected account shows a warning. Select ‘Refresh Feed’. If the feed has expired, re-authorise by clicking the three-dot menu and selecting ‘Update Connection’. Follow the bank's re-authorisation steps.

Transaction imported twice

Duplicate transactions appear when a bank feed imports a transaction that was also imported manually (via CSV). Find both entries in the reconciliation screen. Delete the duplicate (typically the manually imported one). Only one entry should exist per bank transaction.

Invoice shows as outstanding but the customer has paid

If an invoice appears unpaid in Xero but the cash has arrived in the bank, check whether the bank payment has been reconciled to the invoice. Go to the bank reconciliation and search for the payment amount. Match it to the invoice using Find and Match.

💡 Important: Contact us before making any significant changes to your Xero setup (deleting accounts, changing VAT settings, restructuring the chart of accounts). What looks like a quick fix can sometimes create problems that take much longer to resolve.
