Almost all limited companies that process personal data are required to register with the ICO and pay an annual data protection fee. Here's how to work out whether this applies to you
Who needs to register?
Your company must register with the Information Commissioner's Office (ICO) if it processes personal data electronically in any of the following ways:

Storing customer or client contact details

Sending marketing emails or newsletters

Processing employee payroll or HR records

Using CCTV on your business premises

Collecting data through your website (for example, via contact forms, cookies, or analytics tools)

Using a CRM or any software that holds information about individuals
This applies regardless of your company's size, and whether it is actively trading or dormant.
Are there any exemptions?
A small number of companies are exempt from paying the data protection fee. You may be exempt if your company only processes personal data for one or more of the following purposes:

Staff administration (managing your own employees only)

Advertising, marketing, and public relations for your own business only

Keeping your own accounts and financial records
How to check if you need to register
The ICO provides a free self-assessment tool that will tell you whether your company needs to register and how much you need to pay. If you are unsure, it is always safer to register. Failing to register when required can result in a fine of up to £4,000 on top of the unpaid fee.
