Hiring your first employee: the full checklist

What needs to be in place before the first payday and what we handle for you

Taking on your first employee involves more than adding them to payroll. Everything on this list needs to be in place by the first day or first payday.

What needs to be in place before the first payday

  • PAYE registration with HMRC (we handle this*; allow up to three weeks)
  • Employers’ liability insurance of at least £5 million: a legal requirement from day one
  • A written statement of employment terms, due on or before day one
  • Right to work checks, completed and documented before they start
  • Pension auto-enrolment assessment (we run this* through payroll to see who falls into scope and notify you when you need to get an auto-enrolment pension scheme in place)

We register the PAYE scheme*, run the payroll, file the submissions and monitor pension auto-enrolment requirements. You arrange the auto-enrolment pension scheme registration, insurance and the employment contract; we can point you to good template and HR support options.

💡 Good to know: Employers’ liability insurance carries fines of up to £2,500 for every day you are uninsured. Make it the first thing you sort, not the last.
