How to run a report and which reports you should run regularly

Xero's built-in reports tell you how your business is performing and provide the figures needed for VAT returns, tax planning, and management decisions.

The reports to run regularly

  • Profit and Loss: shows income and expenses for any date range. Run monthly to check your figures look right
  • Balance Sheet: shows assets, liabilities, and equity at a point in time. Run before each dividend to check retained earnings
  • Aged Receivables: shows outstanding customer invoices by age. Use to identify overdue invoices for chasing
  • Aged Payables: shows outstanding supplier bills. Use to manage upcoming payment commitments
  • Bank Summary: shows transaction totals by account and month

How to run a report

Go to ‘Reporting’, then ‘All Reports’. Find the report you want, set the date range, and select ‘Update’ or ‘Run Report’. Most reports can be exported to Excel or PDF from the report screen. Favourite the reports you use regularly by clicking on the star next to it.

💡 Good to know: We run reports as part of our monthly review. But having access to the same reports yourself means you can check your position between our reviews without waiting. The Profit and Loss is the most useful monthly health check.
