Five tips to reduce your time spent on bookkeeping
A few Xero features significantly reduce the time spent on bookkeeping once you know about them.
Time-saving features
- Bank rules: automatically categorise recurring transactions (monthly subscriptions, rent, payroll) without manual coding
- Repeating invoices: for regular customers billed the same amount each month, set up a repeating invoice template and Xero will create and send it automatically going forward
- Xero app: photograph receipts immediately and attach them to transactions on the go
- Invoice reminders: automatic email reminders to customers before and after invoices become due, reducing manual chasing
- Batch payments: pay multiple supplier bills in one bank transfer rather than one by one
How to set up bank rules
In the bank reconciliation screen, when you code a recurring transaction, select ‘Create Rule’. Set the matching criteria (the transaction description), the account code, and the VAT code, and click ‘Save’. The rule applies automatically to all future matching transactions.
💡 Good to know: The five minutes spent setting up a bank rule for a monthly subscription saves the same five minutes every month going forward. After a year, rules on 20 recurring transactions have saved over 100 minutes.
